October | You've booked your venue, secured your vendors, and are finally signing off on your wedding planning spreadsheets. But who's making sure it all comes together?

First things first, congratulations! You've tackled the big decisions, assembled your dream vendor team, and spent months (maybe even years!) putting together all the little details that will make your wedding the most magical and wonderful day of your life. But here's something couples don't always realize: planning your wedding and actually executing it are two very different things! And when your big day finally arrives, the last thing you should be worrying about is whether your florist knows where to set up, your caterer is running on schedule, or have place cards perfectly placed to match the ever-changing seating chart.

That's where your day-of wedding coordination team comes in! (And yes we say team, because at Your Perfect Bridesmaid you'll always have at least two coordinators with you to support you on your big day!)

You've done the planning, but you can't be in 3 places at once on your wedding day.

So while your doing your full-time job as someone getting married, think of your wedding coordinator as the behind-the-scenes magic maker and trusted logistics bestie that keeps everything moving! We're talking vendor communication, timeline management, ceremony cues, setup oversight, troubleshooting problems, leading pivots, crafting back-up plans for the 'Oh Sh!t' moments, and making sure all those thoughtfully planned details come together.

But Do I Need a Coordinator If My Venue Already Has One?

We hear this all the time, and it's a great question! What is the difference between a venue coordinator and a day-of coordinator?

Venue coordinators are wonderful resources, but their primary responsibility is managing the venue and its operations.

Venue Coordinators typically manage:

  • Venue access

  • Venue staff and operations

  • Coordinating in-house services

  • Ensuring Venue policies and guidelines are being upheld

  • Addressing facility-related issued (think: lighting, temperature, electric)

Your wedding coordinator, on the other hand, is focused on your entire wedding experience! That means communicating with your full vendor team, overseeing your personal details, managing the flow of the celebration, and being the go-to person when unexpected situations pop up and delegate solutions to the correct person. And believe us, something unexpected almost always happens! The beauty of having a professional coordinator is you probably will never even know there was a hiccup because you'll be too busy having the best day of your life! And that's kind of the whole entire point!

Bonus: Your venue coordinator will probably thank you for having a day-of coordinator to handle all these moving pieces, too!

So to break it down, your Day-of Wedding Coordinator typically handles:

  • Creating and managing the wedding timeline

  • Vendor communication and coordination across all vendors

  • Confirming and ensuring vendor arrival, set-up, and breakdown details

  • Oversees personal decor, signage, place cards, and details

  • Directs rehearsal and processional

  • Manages flow of events from set-up, ceremony, cocktail, reception, and clean-up

  • Main point-of-contact for all unexpected wedding-day challenges

  • Coordinates vendor team breaks and meals

  • Ensuring you and your family can be present and enjoy everything you've planned!

Day-of Coordination is More Than One Day!

Here's a little industry secret: great day-of coordination doesn't start on your wedding day! And if it does, run for the hills! Or just to YPB. :)
